Your information, explained plainly

This Privacy Policy explains how the Kentucky Wildlife Control Operators Association ("KYWCOA," "we," "us," or "our") handles information when you visit kywcoa.com, contact us, join our mailing list, apply for membership, claim a directory listing, or use a member account.

1. Scope

This policy applies to information handled through this website and its connected member and administrative services. It does not govern independent wildlife control operators, KDFWR, social networks, training providers, or other third parties. Those organizations have their own privacy practices.

2. Information we collect

The information we collect depends on how you use the site.

Contact and newsletter information

Name, email address, phone number, inquiry type, subject, message, and newsletter subscription status.

Membership information

Business and contact names, email, phone, website, location, service area, services, species handled, permit or license number, and application notes.

Account and directory information

Account identifiers, listing-claim details, business relationship explanations, profile tagline, company description, credentials, experience, links, service highlights, and emergency-service status.

Submitted opportunities

Job or training titles, summaries, descriptions, locations, dates, links, approval status, and the submitting member's account and operator identifiers.

We may also receive communications you send to staff and records created when administrators review applications, claims, profiles, or submitted content.

3. Sources of information

We collect information directly from you when you complete forms or use an account. We also use public operator information made available by KDFWR to maintain the directory. Account and session information is received through our authentication provider. Technical and usage information may be collected automatically from your browser, device, and website interactions.

4. How we use information

We use information to:

  • Operate, maintain, secure, troubleshoot, and improve the website.
  • Respond to inquiries and communicate about association services.
  • Process membership applications and verify directory listing claims.
  • Create and maintain member accounts and enhanced public profiles.
  • Review, publish, manage, or decline jobs, trainings, and other submitted content.
  • Send requested newsletters, industry news, training notices, event information, and legislative updates.
  • Synchronize and display public operator information.
  • Understand website traffic, feature use, and site performance.
  • Prevent misuse, enforce our Terms & Conditions, comply with law, and protect users and KYWCOA.

5. Public directory and published content

Please submit public profile fields carefully. Approved directory listings, profile enhancements, jobs, trainings, websites, social links, and related business contact information may be visible to anyone and may be found by search engines.

Official directory fields may come from public KDFWR records. Member-supplied enhancements are displayed only after an approved claim. If public information is inaccurate, contact us. Changes to official KDFWR-sourced fields may also need to be made with KDFWR before they appear in our next synchronization.

6. Cookies, local storage, and analytics

Site functionality

Authentication cookies help keep members signed in and protect account sessions. Browser local or session storage may remember directory display state, such as randomized ordering and listings viewed during browsing.

Usage analytics

We use Vercel Analytics to understand site visits and performance. It may process technical and usage details such as pages viewed, referring page, browser or device type, timestamps, and general geographic or connection information.

You can control cookies and stored site data through your browser settings. Blocking required authentication storage may prevent account features from working correctly. We do not use website information to sell targeted advertising.

7. How we share information

We do not sell personal information. We may disclose information in these circumstances:

  • Public publication: directory and approved submission information is displayed as described above.
  • Service providers: hosting, database, authentication, analytics, and technology providers process information for us to operate the website. These currently include Vercel and Neon.
  • Legal and safety reasons: we may disclose information when reasonably necessary to comply with law, legal process, or government requests, or to protect rights, safety, security, and the integrity of our services.
  • Organizational changes: information may be transferred as part of a merger, reorganization, asset transfer, or similar change involving the association, subject to applicable law.
  • With your direction: we may share information when you request or authorize us to do so.

8. Data retention and security

We retain information for as long as reasonably necessary to provide services, maintain accurate association and administrative records, resolve disputes, enforce agreements, meet legal obligations, and protect the website. Retention periods vary by the type of information and why it was collected. Public-record directory information may be refreshed or retained independently of an account request.

We use reasonable administrative and technical safeguards intended to protect information. No website, transmission, or storage system can be guaranteed completely secure. Please avoid sending sensitive personal, financial, health, or confidential information through general website forms.

9. Your privacy choices

You may contact us to request access to, correction of, or deletion of personal information you provided, or to ask that a member-enhanced profile be removed. We may need to verify your identity and authority over the relevant account or business before acting. Some information may be retained when required for legal, security, public-record, or legitimate administrative purposes.

  • Newsletter: request removal at any time by emailing us from the subscribed address.
  • Account and profile: request correction, deactivation, or deletion by contacting staff.
  • Browser controls: clear or block cookies and local storage through your browser, understanding that account features may be affected.
  • Official operator records: contact KDFWR to correct the source record, and notify us so we can review our directory copy.

10. Children's privacy

This website and its member services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information through the site, contact us so we can review and delete it as appropriate.

12. Updates to this policy

We may update this Privacy Policy as our website, services, or legal obligations change. We will post the revised policy here and update the effective date. Material changes may also be communicated through the website or by another appropriate method.
